Data we collect through our bots [Top]
When interacting with our bots, some data are collected automatically while others are collected upon using specific features of our bots. All data collected and the reasons we collect them are described below.
Server information
Upon joining our bot to your server, the bot automatically creates an empty data storage mapped to your server's ID. Additionally, it sends us a notification embed containing the time of joining, your username and your server's name and member statistics of your server. When the bot is kicked, it sends the same data along with the list of features that have been used in your server. These embeds are in private channels of our support server to which only the developers have access to. They provide us a better understanding of our users and their needs.
User information
Our bots may store user IDs when server staff use some specific features of our bots that require such information to operate properly. A good example is our monitor/limit feature, which allows server admins to monitor or limit the actions of a suspicious member.
Role and channel information
Some features require the bot to store IDs of roles or channels. For instance, our ticket system needs the IDs of ticket channels and related categories to keep track of opened and closed tickets.
User-provided data
Our bots may store user-provided data for several purposes. Taking the welcomer system as an example, the bots need to know what message to send when new members join, provided that the welcome message feature is turned on. If you provide images that should be used as a welcomer canvas, the bots will store the Discord attachment link for further use.
Diagnostic data (automatically collected)
All of our bots are equipped with custom logging features that help us identify the cause of bugs and quickly resolve problems that may be present in our software. These features log error messages and the server ID where it happened, no other information is saved. The server ID is required to log errors separately for each server. In case a server owner or admin needs our assistance with a problem, this helps us quickly identify and solve the problem.
How long we use your data [Top]
Our services store and process data to provide you the features offered. Data is only stored if it is required and is stored as long as it is required. When you turn on a feature, the bots store data as described above, when that feature is turned off, the bots automatically delete the related data. If the bots get kicked from your server or leave it for any other reason, all data related to your server will be deleted, including the generated logs.
Where information is processed [Top]
Our team is based in the European Union, that is the home region of our website and services. In order to keep the latency of our bots low, we use Virtual Private Servers to host our bots in datacenters located in the United States as well. Our host service providers use the latest protection measures to ensure the safety of the data stored by our services inside the cloud instances.
Your data rights and choices [Top]
In accordance to applicable laws we provide our users the ability to access the data we store about them and to request data deletion. As described above, our bots store Discord IDs mostly which are required for the bots' features to work properly. If you request your data to be deleted from our databases, please note that the associated features will be turned off. Also note that, if you are asking to delete your server's ID from our databases, the bots will leave your server.
